JOB DESCRIPTION: Provide general secretarial services to the director of Exceptional Student Services (ESS)
QUALIFICATIONS: High school diploma or equivalent. Two years of secretarial experience. Preferred experience with Active Directory, Google Suite, Visions/Purchasing Process, and Audio Visual. Ability to complete a variety of assignments with minimal instruction or supervision.
RESPONSIBILITIES:
- Provide general secretarial services to the director of Exceptional Student Services (ESS), including the composition of routine correspondence, typing of evaluations and recommendations, and producing correspondence and/or documents to support presentations, meetings, records, spreadsheets, and databases by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, etc.
- Answer routine questions, and coordinate activities concerning student enrollment, referral, evaluation, placement, and withdrawal procedures.
- Maintain school budget, statistics, and other records as directed.
- Requisition supplies, materials, and maintenance services, as directed, to maintain the efficient operation of the school.
- Oversee the maintenance of student records, including requesting and forwarding records in accordance with laws, policies, and regulations.
- Process correspondence, including incoming and outgoing mail, telephone, and email inquiries.
- Maintain inventory for staff, initiate purchase order requisitions, receive supplies and educational materials, and manage fiscal information via a computerized system.
- Compose bulletins/flyers to be mailed to parents.
- Assist the school nurse with first aid and school health procedures as needed.
- Mail pertinent information to parents at the beginning of the school year.
- Manage and communicate school-wide and administrative schedules by maintaining physical and/or electronic calendars pertaining to school events or meetings, parent and staff meetings, teacher evaluations, community events, etc.
- Demonstrate familiarity with various office systems/equipment to ensure the maintenance of said office equipment by following manufacturer instructions and established procedures.
- Maintain confidentiality of student and staff records.
- Create and maintain filing systems by organizing and storing paperwork, documents, and computer-based information.
- Perform other duties as assigned.
SALARY: Twelve (12)-month position, beginning salary Level 33, employee benefits in accordance with Board Policies.
EVALUATION: Performance is to be evaluated in accordance with Board Policy on the evaluation of support personnel.
